1. Who we are
LEVELUPVN LIMITED, incorporated in Hong Kong SAR and trading as LevelUp Global, is the data controller for personal data processed through this website. Our registered address is Unit E01, 10/F, Wong King Industrial Building, 2–4 Tai Yau Street, San Po Kong, Hong Kong.
Group companies — including Level Up Media Trade Co., Ltd in Vietnam and our offices in Germany and the Czech Republic — may act as processors or joint controllers for specific activities, always under written agreements that carry the standards described here.
For any privacy question, write to contact@levelupvn.com. We answer within 30 days.
2. What we collect
We keep collection to the minimum needed for the purpose at hand. Depending on how you interact with us, that may include:
| Category | Examples | Where it comes from |
|---|---|---|
| Contact data | Name, email address, phone number, company, message content | You, when you email us or use a contact link |
| Recruitment data | CV, work history, portfolio, references you choose to share | You, when you apply for a role |
| Business contact data | Role, company details, commercial context of a partnership enquiry | You, or publicly available business sources |
| Technical data | IP address, browser and device type, pages viewed, referring page | Automatically, through server logs and analytics |
We do not ask for special-category data (health, religion, political views, biometrics) and ask that you do not send it to us. This website is not directed at children under 16 and we do not knowingly collect their data.
3. Why we use it, and on what legal basis
| Purpose | Legal basis (GDPR Art. 6) |
|---|---|
| Replying to your enquiry and running the conversation that follows | Legitimate interests — responding to a request you initiated |
| Assessing a job application and communicating about it | Steps prior to entering a contract, and your consent for a talent pool |
| Negotiating, entering into and performing a commercial agreement | Performance of a contract |
| Keeping the site secure, stable and free of abuse | Legitimate interests — network and information security |
| Measuring aggregate traffic to improve the site | Consent, where required by local law |
| Meeting accounting, tax and regulatory obligations | Legal obligation |
We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
5. International transfers
We operate across three continents, so personal data may be transferred outside the country where it was collected — in particular to Vietnam, Hong Kong SAR and the European Union.
Where data originates in the EEA or the UK and moves to a country without an adequacy decision, we rely on the European Commission's Standard Contractual Clauses together with a transfer risk assessment, and apply technical measures such as encryption in transit and at rest.
6. How long we keep it
| Data | Retention |
|---|---|
| General enquiries | 24 months after our last exchange |
| Unsuccessful applications | 12 months, or longer only with your consent for our talent pool |
| Contract and partnership records | As long as the relationship lasts, plus the statutory limitation period |
| Accounting records | 7 years, or the period local tax law requires |
| Server logs | 12 months |
When a retention period ends, data is deleted or irreversibly anonymised.
7. Your rights
Depending on where you live, you have some or all of the following rights over your personal data:
- Access — a copy of the data we hold about you.
- Rectification — correction of data that is wrong or incomplete.
- Erasure — deletion, where we have no overriding reason to keep it.
- Restriction — a pause on processing while a dispute is resolved.
- Portability — your data in a structured, machine-readable format.
- Objection — to processing based on legitimate interests, including profiling.
- Withdraw consent — at any time, without affecting what came before.
Exercise any of these by writing to contact@levelupvn.com. We may ask you to verify your identity first. If you are in the EEA or UK you may also complain to your local supervisory authority; in Hong Kong, to the Privacy Commissioner for Personal Data; in Vietnam, to the Ministry of Public Security under Decree 13/2023/ND-CP.
8. How we protect it
- TLS encryption on every connection to this site.
- Role-based access — staff see only the data their work requires.
- Multi-factor authentication on the systems that hold personal data.
- Vendor review before any processor touches personal data.
- A breach process that notifies affected people and regulators within the statutory window.
No system is perfectly secure, but we hold our suppliers and ourselves to these measures as a minimum.
9. Changes to this policy
We update this policy when our practices change or the law requires it. The date at the top always reflects the current version; material changes are announced on this page before they take effect.
